Executive Assistant - Board Level (1:1 Role!)

My client, a global law practice with a phenomenal reputation in the legal world, are currently seeking an experienced Executive Assistant to join them on a permanent basis supporting a board level individual on a 1:1 basis. The successful Executive Assistant will be joining a firm that are known for the "world-class" service that is afforded to their clients along with their treatment of all employees.

Executive Assistant - Board Level (1:1 Role!)

The successful Executive Assistant will be undertaking a true "EA" role, even by purest's standards. Some of the duties that are included in this position are:

- Acting as Gatekeeper for this board level individual
- Complex Diary Management on behalf of this individual, including full organisation, scheduling and resolution of any potential diary conflicts
- Full coordination of internal and external meetings, along with booking meeting venues. - - Arranging logistics for all on-site and off-site meetings and dealing with all related expenses.
- Ensuring this individual is fully updated on what is scheduled in the diary, ensuring - meetings are attended on time and with the appropriate documents/presentations.
- Full planning and organisation of travel programmes and itineraries, including the booking of flights, hotels, transfers, currency and organisation of visas.
- Full inbox management, ensuring all emails are appropriately routed to the correct persons, and actioning specific items under own initiative where appropriate
- Ensuring all correspondence is prioritised to ensure urgent matters are brought immediately to the attention of this individual.
- Screening and responding to a high volume of telephone calls in a calm and professional manner.
- Drafting high-quality correspondence, letters, documents, agendas, reports, presentations and spreadsheets for meetings
- Taking minutes at meetings and producing action lists.
- Building strong relationships with, and developing and maintaining a comprehensive knowledge of, internal and external clients, mandates and projects.
- Occasionally offering additional support to the wider Central Management Team where appropriate
- Understanding and implementing the highest degree of professional confidentiality. Due to the seniority of this role, the nature of the majority of matters are highly sensitive and confidential, therefore a high level of organisation is required to ensure any communications and/or physical materials are handled appropriately in order to ensure this level of confidentiality is upheld.

Executive Assistant - Board Level (1:1 Role!)

This role will be working 9:30am until 5:30pm, with flexibility required on occasion. In order to be considered for this role, the Executive Assistant must possess the following skills/experience:

- At least 2 years experience gained as an Executive Assistant supporting a board level individual/allocation (e.g. Managing Partner, Managing Director, CEO level)
- Legal experience is highly desirable but other professional services experience will also be considered.
- Must have previous experience of extensive diary management within a partnership and preferably a law firm
- Strong working knowledge of Microsoft Office suite of products, particularly Excel, Word and PowerPoint
