In-House Legal EA/PA - Private Equity / Investment Management supporting the Head of Legal, 3 Vice Presidents and 1 Legal Counsel - £60,000 + hybrid working

This role will provide administrative support to the Legal and Compliance team in London. The successful candidate should be able to anticipate requirements and take initiative to meet them wherever possible, as well as maintain a high level of discretion and ensure total confidentiality on all matters at all times.

Diary Management

  • Heavy and fast moving full diary management for the core team including travel booking when required, preparing itineraries, arranging necessary visas, booking restaurants and other associated arrangements;
  • Responding quickly to the changing requirements and travel plans of the team when required;
  • Co-ordination of team diaries and meetings across the network.


Correspondence

  • Responding to all relevant e-mails and letters;
  • Prioritising correspondence and using sound judgement to assess whether a more pro-active approach is appropriate;
  • Responding to telephone calls for the team where required and directing calls and messages appropriately, prioritising and deciding on the best approach.

Document Management

  • Organise and maintain legal documents and files.
  • Assist in the drafting and proofreading of legal documents, contracts, and correspondence.
  • Assisting with signing of legal agreements, needs to know how to use DocuSign. Preferably some experience with NDAs
  • Helpful if they know how to use practical law or Lexis Nexis

Compliance Support:

  • Assist in maintaining compliance records and ensuring adherence to regulatory requirements.
  • Stay informed about changes in relevant laws and regulations.

General Administration Duties

  • Attending to general administrative duties as and when required, including:
    • Filing and archiving documentation;
    • Updating business card records;
    • Photocopying;
    • Binding of documents;
    • Shredding of documentation;
    • Recording of annual leave;
    • Dealing with expenses for the team in a timely manner;
    • Ensuring that meets and exceeds the demands and expectations of its clients, investors and advisers.

Qualifications & Experience

Proven experience as a legal PA or similar role in legal setting;

  • Familiarity with legal terminology, documentation and procedures;
  • Experience of managing relationships with high profile internal and external customers;
  • Experience in providing excellent service levels as an Assistant to senior management;
  • Proven ability to work flexibly and effectively under pressure;
  • Experience in supporting a team of busy professionals.

Skills

  • Excellent communication and relationship building skills;
  • Excellent organisational and time management skills;
  • MS Office skills (Word, PowerPoint, Excel and Outlook).
