Recruiting for a Partner level PA to work for a leading Uk Law firm within the very busy Employment department. The objective of the role will use skill and judgement in delegating work to Legal Secretaries and Team Administrators and other resources available to them together with lots of BD involvement.

Duties:

Diary Management and Travel Excellent levels of competence and judgement in managing diaries and travel, to include:

 Ensuring the Partner has all necessary paperwork and documentation for meetings in good time.

 Initiating and managing regular catch ups to monitor diary activity, with emphasis on proactively planning and preparing for any upcoming events, such as key client meetings, client training/seminars etc.

 Maintain an awareness of the Partner's whereabouts to provide proactive alerts if there are delays in their schedule.

 Maximise the effectiveness of diary management by using the tools available in Outlook, delegating diary management tasks and minor travel requests as appropriate. Marketing and Business Development

 Taking an active role in meetings to include creating agendas, minute-taking and circulating to the sector group with relevant action points.

 Partnering with the Partner to create and maintain a digital marketing presence.

 Aiding the Partner in producing newsletters and articles which may be published to the website or mailed to clients

 Involvement in minor pitches or supporting MBD team with larger pitches, to include expert use of the pitching tools/templates, including:

 Drafting and formatting pitches, team sheets and other marketing materials.

 Attending pitch planning meetings, where possible to offer input relevant to matter admin support we propose to provide to the client.

 Assisting with cataloguing of pitches, precedents and marketing materials for future use.

 Liaising with the sector Business Development contacts to create events, organise speakers, event materials, mailing and RSVP lists, post event follow ups and lead monitoring. Client Relationship Duties Develop understanding of the Partner's key clients who do not qualify to have a CRE allocated to them, but who need a level of administrative support, to include:

 Building relationships with key personnel within the client.

 Demonstrating an awareness of client activities, such as seminar, conferences, client training opportunities that they may be interest in.

 Organising team calls, preparing agendas, taking notes and driving forward action points when appropriate.

 Providing information to the stakeholder to help the continued development of the client relationship.

 Attend any onboarding meetings for new clients to ensure a good understanding of any specific client instructions, such as preferred billing processes.

 Supporting the stakeholder in monitoring client activity for example, volume discounts, panel appointments and rate card reviews. Creating a structure to record key information for the client which other stakeholders may use when opening further matters.

 Providing reports and carrying out research to assist with the further development and activity of the clients ensuring they are added to appropriate marketing lists at a relevant point.

 Where the Partner's clients meet the qualifying criteria to have a CRE assigned to them, ensure regular liaison with the appointed CRE to maintain an awareness of the activity of the key client and offer support, when needed, to ensure the continued efficient relationship management for the key client.

Previous experience working in in a secretarial or PA function within the legal sector is desirable

 A 'can do' attitude, willingness to learn and expand knowledge and skills within the role, approachability, flexibility as to hours and the role itself, a practical/common sense approach.

 Ability to build and maintain constructive relationships with individuals at different levels of seniority in a matrix structure.

 Excellent phone manner - internally and externally coupled with an ability to communicate clearly and to listen effectively.

 First-class administrative skills, attention to detail and accuracy together with problem solving skills.

 A commitment to self-development and continuous self-learning.

 Ability to stay calm in often demanding situations and work well under pressure.
